1. Who we are

2. What we collect

Depending on how you use SetupMatch, we may process:

  • Contact form data — your name, email, and message when you write to us
  • Account and workspace data — if you use the product, names, emails, and configuration you provide
  • Inventory and allocation data — equipment records and assignment data you enter into the Service
  • Server logs — IP address, user-agent, request timestamps, and similar metadata for security and abuse prevention

We do not sell personal data.

3. How we use your data

  • Provide and operate the Service
  • Respond to contact form messages
  • Secure, maintain, and improve the Service
  • Comply with legal obligations

4. Legal basis (GDPR)

For users in the EU/EEA, we process contact form messages to respond to your request (Article 6(1)(f) — legitimate interest, or Article 6(1)(b) where applicable). Product data is processed to perform our contract with your organization (Article 6(1)(b)). Server logs are processed for security (Article 6(1)(f)).

5. Retention

  • Contact messages: retained as long as needed to handle your inquiry and for reasonable record-keeping
  • Product data: kept while your account or workspace is active, then deleted or anonymized per your agreement
  • Server logs: typically retained for a limited period unless needed for security investigations

6. Processors and transfers

We use trusted service providers to operate SetupMatch, including:

  • Vercel / MongoDB Atlas — hosting and database infrastructure
  • Pushover — forwarding contact form notifications to the operator

Some processors may process data outside the EU/EEA. Where required, we rely on appropriate safeguards such as Standard Contractual Clauses or equivalent mechanisms.

7. Cookies and local storage

The public marketing site uses essential cookies and storage only as needed to operate the Service. We do not use advertising cookies or third-party tracking pixels on the public site.

8. Your rights

If you are in the EU/EEA, UK, or other jurisdictions with similar laws, you may have the right to access, rectify, erase, restrict, or port your personal data, and to object to certain processing. You may also lodge a complaint with your local supervisory authority.

9. United States notice

We do not sell personal information as defined under applicable US state privacy laws. California and other US residents may contact us to request access or deletion of personal information we hold about them.

10. Children

SetupMatch is not directed at children under 16. We do not knowingly collect personal data from children. If you believe a child has provided data, contact us and we will delete it promptly.

11. Security

We use industry-standard measures including HTTPS and access controls. No method of transmission or storage is completely secure; we cannot guarantee absolute security.

12. Changes

We may update this Privacy Policy from time to time. The "Last updated" date indicates the latest revision. Material changes will be reflected on this page.
